Job Opening: Membership and Administration Officer

Organization: European Society for Engineering Education (SEFI)

Location: Brussels, Belgium (with partial remote work)

Position Type: Part-time (3-4 days a week)

Context: SEFI is an international non-profit association dedicated to improving engineering education in Europe and beyond. Position Overview: SEFI is seeking a motivated and detail-oriented individual to join our team as a Membership and Administration Officer. Reporting to the Secretary General, the Membership and Administration Officer will play a crucial role in supporting SEFI’s membership initiatives, administrative tasks, and day-to-day operations. This position offers an excellent opportunity to contribute to the success of an influential organization in the field of engineering education while gaining valuable experience in a dynamic international environment.

Key Responsibilities:

  • Membership Management and Administration: New membership applications processing and onboarding; Invoicing and payments; preparing reports for the board
  • Financial Administration: Payments of bills and invoices; communication with the bookkeeper.
  • Communication and Marketing Support: Managing distribution lists for SEFI communcations; Assistance with communication campaigns; Updating the calendar of events.
  • General Administration and Office Management: Maintaining office organization, filing systems, and supplies management; Assistance to the Secretary General with administrative tasks as needed
  • Ad Hoc Support and Representation: Organizing meetings in Brussels and other locations, including logistical arrangements; Occasionally representing the organization at meetings or events.

Reporting: The Membership and Administration Officer reports directly to the Secretary General.

Qualifications:

  • A completed bachelor’s degree.
  • A minimum of 3 years of experience in a similar position, preferably in an international environment.
  • Experience in financial administration, invoicing and payments.
  • Strong organizational skills, with meticulous attention to detail.
  • Excellent written and verbal communication skills in English and very good in French. Knowledge of Dutch and/or other European languages is a plus.
  • Proficiency in Microsoft Office suite and familiarity with database management systems.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Demonstrate experience of working with deadlines.
  • Interest in working in a small unit (two or three persons) coordinating a wide network.
  • Prior experience in membership management is desirable.
  • Passion for education, innovation, and contributing to positive change in society.

Location: The SEFI office is situated in Brussels. The successful candidate must be a permanent resident of Belgium.
